Marketing Campaigns – Point 101

Today starts a new series about using Point to help you create attention-grabbing marketing materials that you can send to any and all of your Cardex contacts.  We talked about this functionality last year but since it’s such a fascinating topic for those of us in the marketing department, we thought it was relevant enough to revive.

Point allows you to create custom forms.  You can create a document—a letter, flyer, brochure, postcard, email, etc—from scratch using the MS Word interface with Point, or you can modify a template from MS Word and import it into Point for customization and distribution.

If you start from within Point, here’s what you do:

  • The first step in creating a new custom form is to set up a Custom Form Template. In the Navigation Panel on the left of the Point screen, click the Templates tab. Select the Custom Forms/Letters/Email checkbox and then click the New button. The New Custom Form window appears. Enter a name for the form you want to create, and click OK.
  • Microsoft Word® opens, showing a blank document, along with the Point Custom Form window.
  • In Microsoft Word, you can create your form, and select Point fields from the Select Point Field dropdown list to insert Point merged fields into your document. Once you select a field, click the Insert button to put it into your document.
  • If the field you need is not in the dropdown list, select Other Point Fields Not Listed Above and click Insert.  The Insert Point Field window will appear.  Enter the Field ID and click Insert.
  • When you are finished creating your document, click Save, then click Close.

If you already have templates or documents in MS Word that you’d like to use, we’ve got you covered, too!  You can easily import those documents into Point to use with your contacts.

  • In Point’s left navigation panel, click the Templates tab. Select the Custom Forms/Letters/Email checkbox, and then click the Import button at the top of the workspace. If the Word document contains Mail Merge fields, the following message appears stating that those fields are no longer available after import. Click Yes.
  • The Select Word File(s) to Import box will appear. Highlight the Word file or files you want to import and click Open.
  • The document you selected is added to Point.

Help with Point 7.4: Fees Worksheet “Details”

Here is another quirk that you may have run across.  Sometimes all of the Paid By column fees display as “DETAILS” which means your calculations for the cash to close and prepaid finance charges are incorrect.

Now this isn’t to say that it’s a random occurrence.  There are two ways this could happen and I’ll walk you through the corrections.

The first way deals with whether you are using a closing cost template that was created prior to Point 7.4.

    To correct the template:

    1. Install Point 7.3 on one computer.
    2. From Point 7.3, go to Templates from the left navigation panel.
    3. Select Closing Cost Scenario.
    4. Double-click the first closing cost template in the list.
    5. When it opens, click File > Save on the menu bar and then close it.
    6. Follow the same steps for every closing cost template.  Simply open and save it.

    When all closing cost templates are re-saved with Point 7.3 – then you can upgrade to Point 7.4 and use the templates.

    The second way involves copying a loan file.  If you copy a file and check the box to “copy only 1003 data”, the calculation of each fee and prepaid finance charges will not be correct.

    1. You must either re-copy the file again without checking the box to “copy only 1003 data” 
      OR
    2. Re-create the file and re-enter the fees on the Fees Worksheet.

    We’re Growing!

    Over the past few weeks you may have seen several news releases about the changes going on at Calyx.  We’re thrilled to taking action and making a positive difference in this challenging economy.

    Besides the announcement last month that we have acquired Loan-Score and are expanding our industry reach, we have also recently announced the addition of three new regional sales representatives.  Each of them brings tremendous industry experience and expertise.  We have the utmost confidence in the value that they bring to our customers.

    Additionally, just last week we added a new product manager in our San Jose office.  This week we added 12 employees to our technical support and customer service departments in Dallas.  We will also be adding marketing staff in the near future.

    As we strive to develop the products that will help you become more efficient and effective for your customers, we recognize the need to provide the same efficiency in our service to you.  Calyx will continue to grow as necessary to meet your needs and those of our future customers.

    Banking on Banker Upgrades – Point 7.3

    Point 7.3 carries on with our goal to make the mortgage loan process as effective and efficient as we possibly can.  Taking all of your requests and comments from Point 7.2, we’ve developed 7.3 with banker features you want.  Here are a few helpful new features.

    • Synchronization is big player in this release because it makes things so much easier for you.  If you use the banker screens in Point, you’ll definitely appreciate this new feature.
      • The Track Conditions screen has been re-designed to synchronize with the Banker Conditions screen.
      • Mortgage banks can now control which conditions the loan originator and loan processor can view by configuring the Utilities menu.
      • This new feature will make it easy for the Underwriter to issue all external and internal conditions from the Banker screen and push only LO and Processor conditions to the Tracking screen.
    • If you’re processing your own settlements, you’ll appreciate the new HUD1 screen.  It’s simple to populate because it looks exactly like the form and you can populate fees on Page 2 with a copy feature from either the Fees Worksheet or the Fees & Impounds screen.
    • The Profit/Loss screen has been redesigned to distinguish between brokered and banked loans with specific print-outs for each.  This enhanced screen also allows accommodates split commissions and deductions.
    • Saving you money with third party vendors is another happy ending for Point 7.3 banker screen updates.
      • The Closing Docs interface has been enhanced with an audit feature that allows you to audit for missing information prior to drawing documents.
      • You can refresh the dialog box as you correct each error to verify that you are ready to submit your order!

    What’s in your loan file?

    Every loan file is unique.  Any number of factors determines the various forms, fields, services ordered that make each file different from all others.  When you are processing multiple loans, how do you maintain order and keep up with every form—every transaction—within your files?

    Using 3 components of your Point 7.3 system, all file data is instantly and easily accessible.

    1.    Electronic Document Storage:  Electronic storage enables you to see any file in your pipeline—instantly—with the added security of knowing your data is safe and all in one place.  Point 7.3 allows you to drag documents from your desktop  directly into the document management screen of an open loan file.

    2.    Document Organization:  Re-arrange documents in your files in such a way that makes the most sense to you so that you can see at a glance if anything is missing.  Document “stacking” allows you to sort and group your documents just like you need them.  Point 7.3 makes organizing document packages simple with customizable package types and an automatic packaging date that documents where, when and who sent each document within a package.

    3.    Loan Checklist:  Your Track Status and Checklist should document every service ordered and every disclosure made, along with contact made with the borrower along the way.  Entering tasks should become an integral part of your business processes.

    Access Mortgage Research and Consulting has just released their latest industry studies for brokers and lenders and we’re still the preferred vendor for origination and underwriting among brokers!

    According to their latest results, Calyx holds 72.5% of the market share for brokers.  We’ve held more than 50% since 2000 and it’s thrilling to learn that we are still doing something right!

    We also support 36% of the lender market which includes banks, credit unions, and mortgage bankers.  That’s exciting news for us because we trail the leader in the lender market by only 1.4%!

    We love our brokers and we have enjoyed the challenge of developing our software to meet the more extensive needs of our lenders.   We’re proud to substantiate our efforts to provide what our customers want and expect in a functional, easy to use mortgage platform!

    Point 7.3 is scheduled to launch on October 28.  This release is especially important because just like 7.1 and 7.2, 7.3 focuses on compliance.  The difference in 7.3 is that it focuses on making compliance even more efficient.
